Job Summary:

We are seeking a detail-oriented and proactive Inventory Officer to manage and maintain accurate inventory records across multiple locations and with delivery agents. The Inventory Officer will be responsible for ensuring the availability, accuracy, and proper handling of stock, working closely with logistics officers, agents, and other stakeholders to streamline inventory processes. The ideal candidate must possess excellent organizational skills and have experience in inventory management systems.

Key Responsibilities:

Inventory Management:

  • Maintain accurate records of all stock movements, including receiving, storing, and dispatching products.
  • Track inventory levels across multiple locations and with delivery agents.
  • Monitor stock levels to ensure that minimum stock levels are maintained and flag when reordering is needed.
  • Ensure timely stock replenishment and accurate inventory counts.

Stock Reconciliation:

  • Conduct regular stock counts and physical verification of inventory.
  • Reconcile discrepancies between physical stock and system records and report on variances.
  • Ensure that all stock movements are properly documented.

Coordination with Delivery Agents:

  • Work closely with external delivery agents to track and update inventory held by them.
  • Coordinate regular reporting of stock levels from agents and ensure timely submission of reports.
  • Monitor stock received from vendors and dispatched to agents for accuracy.

Inventory Reporting:

  • Prepare daily, weekly, and monthly inventory reports for management.
  • Track inventory performance metrics such as stock turnover, stock aging, and availability.

Inventory System Management:

  • Use and manage inventory management software or Google Sheets for real-time stock updates.
  • Ensure data is accurate and up-to-date within the system across all locations.
  • Set up and maintain low stock level alerts and other system notifications.

Quality Control:

  • Ensure the quality and condition of products in storage meet company standards.
  • Identify and report any damaged, expired, or near-expiration stock.

Collaboration:

  • Collaborate with logistics officers and the operations team to ensure efficient stock management.
  • Coordinate with the procurement team to plan for future inventory needs based on demand forecasting.

Process Improvement:

  • Suggest and implement improvements to inventory control processes and procedures to enhance efficiency and accuracy.
  • Work on streamlining processes for stock transfers between locations and agents.

Compliance and Documentation:

  • Ensure proper documentation of all inventory transactions in line with company policies.
  • Maintain accurate and up-to-date inventory records for audits and reporting purposes.

Qualifications and Requirements:

  • Education: Bachelor’s degree in Business, Supply Chain Management, Logistics, or related field.
  • Experience: Minimum of 2-3 years of experience in inventory management, warehouse operations, or logistics.
  • Technology Skills: Proficiency in inventory management software (e.g., Zoho, TradeGecko) or advanced Excel/Google Sheets skills for tracking and reporting.
  • Attention to Detail: Excellent organizational skills with the ability to spot discrepancies and reconcile stock data.
  • Communication Skills: Strong verbal and written communication skills to liaise effectively with external agents, internal teams, and management.
  • Problem-Solving: Ability to quickly identify and resolve inventory-related issues and discrepancies.
  • Time Management: Strong multitasking and time management skills to handle multiple inventory locations and tasks.
  • Team Collaboration: Ability to work well with logistics officers, agents, and other departments to ensure smooth stock flow.
  • Physical Ability: Ability to occasionally lift and move stock items and perform physical stock counts if required.

Additional Information:

  • The Inventory Officer will be based at Company HeadQuarters in Lekki, Lagos but may occasionally need to visit other stock locations or liaise with agents across different regions.
  • This role requires excellent organization and coordination skills as it involves managing stock across various delivery partners and warehouse locations.
