Executive Assisant

  • The Executive Assistant provides comprehensive support to the CEO, ensuring seamless operations and effective management of high-level initiatives onsite and out-station. This role requires a proactive, highly organized individual with a keen eye for detail and a strong interest in the beauty band.

Responsibilities:

  • Act as the primary liaison between the CEO and internal/external stakeholders, managing all forms of communication with professionalism and discretion.
  • Participate in strategic discussions and represent the CEO’s interests as needed.
  • Prepare and disseminate high-level reports, presentations, and correspondence for executive review and external communication.
  • Proactively manage the CEO’s complex calendar, including scheduling meetings, appointments, and conferences, optimizing for efficiency and priorities.
  • Coordinate comprehensive travel arrangements (domestic and international), including flights, lodging, transportation, and other detailed itineraries like studio and make-up bookings.
  • Oversee and track project timelines, deadlines, and follow-ups on behalf of the CEO, ensuring all initiatives progress efficiently.
  • Conduct in-depth research and compile critical information to support strategic decision-making by the CEO.
  • Maintain the highest level of confidentiality and discretion when handling sensitive information, proprietary data, and personal matters.
  • Manage relationships with internal units, external vendors, including coordinating services, tracking invoices, and following up to get approvals for pending payments.

Requirements:

  • Bachelor’s degree in Business Administration, Communications, or an any management related field.
  • 3+ years of experience in an executive support or administrative role (experience in beauty, fashion, or media is a strong plus).
  • Strong organizational and time-management skills with a keen attention to detail.
  • Excellent written and verbal communication skills.
  • Demonstrate advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Slides, Calendar, Gmail) and in digital tools like Canva or Trello.
  • Social media savvy and a genuine interest in beauty trends and industry dynamics.
  • Ability to work under pressure, meet deadlines, and multitask effectively.
  • High level of professionalism, discretion, and emotional intelligence.
